At Artsy Foundation, we are committed to protecting your privacy and handling your personal information with transparency and care. This Privacy Policy explains how your data will be collected, used, stored, and protected when you participate in the Frame & Flair Exhibition, scheduled to be held from 12–14 September 2025 at Krittika Art Gallery, Santiniketan.

  • Age (to verify eligibility: above 15 years)

  • Details about submitted artworks (title, medium, size, description, year)

  • Digital images of the artworks (in JPG/PNG format)

  • Address (if artwork delivery or memento dispatch is needed)

  • Volunteer participation preferences

  • Participation records (for issuing certificates)


2. How We Use the Information

Your information will only be used for the following purposes:

  • Curating and organizing your participation in the event

  • Communicating important dates, results, or updates

  • Displaying your artwork information on labels and event material

  • Issuing certificates and mementos

  • Featuring your work and name on our website, social media, and catalogs (with credit)


3. Consent for Image Usage

By submitting your work, you grant the Artsy Foundation permission to:

  • Use the digital images of your submitted artwork for exhibition display, curation, and promotional activities.

  • Feature your name and art details in both digital and printed formats including posters, event pages, social media, and press releases.

You may withdraw promotional consent by notifying us in writing before the final curation process (by 25 August 2025).


4. Data Storage and Security

  • All collected information will be stored securely and accessed only by authorized organizing team members.

  • We do not share, rent, or sell your personal data to any third party.

  • Your data will be retained only as long as needed for event operations and documentation (maximum 6 months post-event).


5. Third-Party Tools

We may use third-party tools such as Google Forms, WhatsApp, Gmail, and social media platforms for communication and submission processes. These platforms follow their own privacy policies.


6. Your Rights

As a participant, you have the right to:

  • Request access to your personal data held by us

  • Request correction of inaccurate or outdated information

  • Request deletion of your data after the exhibition concludes

  • Opt out of promotional use of your name or work (with prior notice)
